Employees can request full or half vacation days.
How it works: Main Menu → Planning → Select request type → Pick a date. To reverse a click, just click again.
Requested vacation must be approved by an Admin.
To approve: Main Menu → Vacation Requests → Edit.
You can also configure which Admins should receive a NateoTime internal message whenever a vacation request is submitted.
Vacation adjustment is not perfectly easy to understand, but important to do correctly.
Example:
But what if Alice had only used 10 days so far, meaning she still has 20 left?
In that case, simply enter a vacation adjustment of +12.5 days for Alice:
Main Menu → Team Members → Manage → Vacation Adjustment → New
NateoTime will add this adjustment to the system’s internal calculation.
This way, you can use positive or negative adjustments to correct initial balances for all employees. The same process also works for special cases (e.g., wedding leave).
Comp time is treated the same as simple non-work time.
So why even request comp time?
Because if a day has no time entries, and it isn’t marked as sick leave, vacation, or comp time, NateoTime flags it in a warning color.
Approved comp time confirms that the absence was intentional. It’s important documentation showing that an employee didn’t just “skip work.”
That’s also why comp time can only be taken in full days—half days are documented normally through time entries (e.g., flex time).
In NateoTime, you can create multiple holiday calendars. There will always be at least one.
Multiple calendars are useful if you have sites in different regions with different holidays.
Which calendar applies to which employee is defined in their "Work" contract:
Main Menu → Team Members → Manage → Edit contract for "Work" → Holiday Calendar
You can create an empty calendar or duplicate an existing one.
You can also import holidays from a template (e.g., a specific region).
Always double-check if the holidays match your company’s situation exactly.
Important: You can only delete a holiday calendar if it isn’t in use by any contract. Otherwise, removing holidays would retroactively change overtime balances for employees.
If necessary, switch contracts to a different holiday calendar before deleting.
Sick days can only be entered by an Admin.
Like comp time, sick leave can only be tracked in full days. This prevents gaps in documentation if no time entry is present for part of a day.
Partial absences (e.g., doctor’s appointments) are handled normally through clocking in/out and are counted as non-work by the time calculation.
